Aalto University Rules of Conduct

Purpose
These rules promote a safe and accessible university environment for all Aalto community members, visitors and partners. They ensure that the university premises, property and services are used for the ordinary operations of the university, i.e. for study, research, university job duties and other agreed uses. The rules are based on:
- the Universities Act (558/2009) and the Occupational Safety and Health Act (738/2002)
- the Aalto University Code of Conduct
- the rules, regulations and guidelines regarding the use of Aalto University services, property and premises.
Entry into force and application
The rules will apply from 1 September 2025 on the Aalto University premises and, where applicable, also in other locations where university activities take place. In these rules, Aalto University premises refers to all properties, other facilities and outdoor areas used by the university, as well as to the digital environments managed by the university, where appropriate.

- Disrupting public order or otherwise endangering the safety of others, as well as engaging in threatening or violent behaviour is prohibited.

- As a rule, the university teaching is open to the public unless there is a justified reason to restrict access to it.
- You can move around freely in the public spaces of the university during the buildings’ opening hours. To access other areas such as offices, computer classrooms or laboratories you will need personal access rights.
- Carry a valid university-issued ID card with you when on the university premises and keep the ID card visible when using university facilities with access restrictions.
- Your access card is for your personal use, do not give it to others.

- Use the university premises only for their intended purposes, keeping them clean and safe.
- You may store your personal belongings in accordance with university instructions in university storage spaces and other designated facilities, such day-use lockers. Please make sure to remove your items from the university premises at the latest when your right to study, employment relationship or other contract giving you the storage right ends.
- When using premises intended for student organisation events and other similar uses, you must follow the safety and cleanliness rules.
- The university community notice boards may be used for notices, adverts and similar short-term announcements intended for the university community.
- Accommodation within the university indoor areas requires permission.
- Vehicles must be parked only in designated parking spaces.
- The university premises are smoke-free. Smoking (incl. electronic cigarettes) is allowed only in designated places.
- Demonstrations are to be conducted in accordance with the Assembly Act (530/1999). Demonstrations must be directed outdoors to keep the university indoor areas safe and free from disruptions for everyone. If you organise or attempt to organise a demonstration in the indoor areas, the university will take appropriate measures on a case-by-case basis.

- Handle the university property with care, using it for the intended purpose.
- Please report any defects or deficiencies to the appropriate university contact person or through other established university channels.

- Attending classes or working under the influence of intoxicants is prohibited.
- The use of narcotics on the university premises is prohibited.
- The policy on serving and consuming alcohol at university functions and events is specified elsewhere.

- Please let us know if the instructions are missing from any university rooms or facilities.

- Follow the guidelines on the use of information systems and digital services and on the classification and protection of information held by the university.
- If you suspect an information security incident, immediately report it to the university information security team.
- Your university user ID (consisting of your username and password) is personal and confidential. Do not disclose it to anyone.
- Use your Aalto email address for communications related to your work duties at the university.
- Use the terminal device (phone, computer, tablet or similar) assigned to you and centrally managed by the university when performing university duties. Do not leave your devices unprotected or available to bystanders. Make sure they are locked automatically.

- Everyone is obligated to compensate for any damage they cause to the university property in accordance with the applicable legislation or agreement.
- Individuals acting disruptively may be removed from the university premises.
- Persons who violate these rules may have their building and system access rights restricted.
- If the university suspects that a crime has been committed, it may file a police report.
- Depending on the violation, students may be subject to disciplinary action as provided in the Universities Act (558/2009): The student may be ordered to leave the premises where teaching takes place or an event organised by the university; the student may be banned from attending teaching for a maximum of three working days at a time; or the student may be issued a written warning or suspended from the university for a maximum of one year. In addition to the disciplinary actions set forth in the Universities Act, the university may use milder measures, such as issuing an admonition.
- Depending on the violation, employees may be subject to any of the following sanctions provided in labour legislation: a remark, a written warning, termination of the employment relationship or cancellation of the employment relationship. Based on the employer’s right to direct work, also other measures affecting the employment relationship are available.
- For other individuals and partners, consequences of violating the rules for campus use depend on the applicable contract and legislation. The university may intervene in any breach of these rules on its premises even in cases where a facility or area has been assigned or rented out to another party.
