Applying for extension to the study time (SCI)
Applying for extension in the School of Science
If you cannot graduate (i.e. complete your courses or submit the thesis) by the end of your study time and you want to continue the studies, you must apply for an extension to your study time. Application deadlines are 15 November (if your study time ends on 31 December) and 15 May (if your study time ends on 31 July). If the deadline falls on a weekend, the deadline is the following Monday.

NOTE: Extensions are approved for the purpose of completing a degree. That means you should apply for an extension only if you have the intention and the possibility to complete your thesis and remaining studies.
To apply for the extension, you need to
- Update your primary study plan in Sisu. Remember to check that all parts of your study plan where approval is required are approved. Please note that the approval of your study plan can take up to two weeks. Therefore, make sure to allocate enough time for the approval of your study plan.
- Make a timetable for completing the missing courses in the Timeline sheet in Sisu. The study plan must be goal-oriented and feasible. Please note that you can submit the application only when you have made the timetable.
- As soon as the status of your study plan is Selections done, navigate back to the notification box on the Sisu front page to apply for the extension and pay the application fee.
- Send the required attachments mentioned below to extensions-sci@aalto.fi or confidential-sci@aalto.fi.s according to the below instructions.
- When the application has been processed, you will receive a message in Sisu.
If you apply for extension for the first time:
- Explanation of the reasons for the delay in studies
- Give the explanation on the application form or write a separate free-format statement. Do not give any confidential information (e.g. matters related to health condition) in Sisu.
- NOTE: working during studies will not be taken into account.
- Certificates for statutory absences (if applicable)
- If you have statutory absences (military service, maternity or paternity leave, parental leave), please provide certificates for these absences.
NOTE! If your thesis is scheduled for the applied extension period, the thesis process must have been started (i.e. at least the basic starting information filled in) in MyStudies. Information and instructions on master鈥檚 thesis you will find in .
If you have practical training in your HOPS and you already have completed the required working hours, submit the practical training application before applying for extension. Instructions on how to make the application you will find in > code SCI.trai.
If you have been granted an extension to your study time before:
- Report on how the previously granted extension was used.
- You can give the report in Sisu or use the template that you will find at the end of this page.
- If you have practical training in your HOPS and you already have completed the required working hours, submit the practical training application before applying for extension. Instructions on how to make the
application you will find in > code SCI.trai. - If your studies have not progressed according to the study plan during the extension, explanation of the reasons for the delay in studies is required. Give the explanation on the application form or write a separate free-format statement. Do not give any confidential information (e.g. matters related to health condition) in Sisu.
- NOTE: working during studies will not be taken into account.
- Thesis plan with timetable confirmed by your supervisor
- If you already are writing on your thesis, you need to submit a thesis plan with timetable confirmed by your supervisor. You can use the template that is available at the end of this page, or make a free-from plan. Your supervisor can confirm the thesis plan also by email to extensions-sci@aalto.fi. Check that your thesis process is up-to-date in .
- if your thesis is scheduled for an extension period, but you have not yet started working on it, the thesis process must still have been started (i.e. at least the basic starting information filled in) in MyStudies. Information and instructions on master鈥檚 thesis you will find in .
- Medical certificate, if applicable
- If the reason for delayed studies is medical condition, submit an up-to-date medical certificate. Medical certificate should be fairly recent, preferably not older than two years. Documents which are several years old are usually not taken into account.
- Documents on statutory absences
- If you have statutory absences (military service, maternity or paternity leave, parental leave), please provide certificates for these absences.
Send the attachments to extensions-sci@aalto.fi. NOTE: send all confidential material (medical certificates, certificates for absences due to a maternity, paternity, or parental leave) to confidential-sci@aalto.fi.s. Instructions for encrypted email you can find on the webpages of Aalto IT Services - Encrypted Email for Students and Designated Employees.
When sending the attachments, use the following email subject line: your programme (MathOR / EngPhys / IEM / INF / LifeTech / CCIS / IDBM / EIT / SECCLO), your name, 鈥渁ttachment to application for extension鈥 (e.g. CCIS/Firstname Lastname attachment to application for extension). By using the requested subject line, you ensure that only the person handling your application reads the email.
Send the required documents as email attachments. Do not send a link to a shared folder containing documents.
Please note that only complete applications are processed, so remember to send all required attachments as is instructed. If you can鈥檛 get all required attachments by the application deadline, submit the application by the deadline, and send the attachments as soon as you get them. In your application, tell clearly which attachments you will submit later and give an estimate of their delivery time. If submission of attachments is delayed a lot, we cannot guarantee that you will get the decision to your application by the given processing time frame (see below).
Application fee is 50 euros. Please note that the application fee is not refunded.
Applications submitted by 15 November: decisions by 31 December
Applications submitted by 15 May: decisions by 31 July
Please note that the decision will be available only in Sisu.
Please note that if you request to have the decision sent by mail, it will not include a stamp or signature. You can also print the same decision yourself from Sisu.
Please also note that we may ask additional information or complementary documents from you, so follow your @aalto.fi email regularly. If additional information or complementary documents are not provided by the given deadline, your extension application will be rejected.
If you are liable to pay tuition fees at Aalto, please note that if your study time is extended, you must pay the tuition fee for the duration of the extension. If you are exempted on the grounds of a certain type of residence permit but your exemption expires before the study time extension begins, you must deliver a copy of your new valid exempting residence permit to tuitionfees@aalto.fi.
