Credit transfer and individual studies for doctoral students

Instructions for doctoral students on how to apply for credit transfer and individual studies.

What is the difference between credit transfer and individual studies?

Credit transfer (inclusion)

  • A course taught by another university for which you have been granted credits
  • You have received an official transcript of records from the university which granted you the credits. Separate letters or certificates by the teacher of the course are not official transcripts. Usually this requires that you have been enrolled as a (non-degree) student to the organising institution.
    • Summer and Winter Schools typically cannot be included via credit transfer (inclusion).
  • To apply for credit transfer, you need an official transcript of records, an official description of the completed course and a screenshot of your Sisu credit plan (including a study draft for the course to be transferred)
  • You submit your application in Sisu as credit transfer (inclusion).

Individual studies 

  • Individual studies are activities that you report to your supervising professor, or activities arranged by other institutions for which credits are not registered to the organising institution's register.
    • typically Summer and Winter Schools
  • To apply for individual studies, you need a form for individual doctoral studies (custom course credit), signed by your supervising professor
  • There are course codes for the most typical types of individual studies, listed in the curriculum of your doctoral programme.
  • You submit your application in Sisu as credit transfer (substitution) for the course code in question.

Doctoral student forms

Credit transfer: inclusion of studies from other universities

  • You can include studies from other universities in your degree, if you have agreed about it with your supervising professor in your Sisu credit plan. After completing the course, apply for inclusion of the course in Sisu. Note that you need a transcript of records from the university in which you completed the course.
  • Substituting compulsory courses with courses completed elsewhere is very rare. In such cases, always contact the Doctoral education services of your doctoral programme first.
  • Credit transfer as inclusion is only possible if you have received study credits from another university, displayed on a transcript of records. If you have not received official credits (often in the case of summer schools or seminars), include the studies as individual studies, see more below.
  • If you have completed studies in another Finnish university via a cross-institutional study network, the credits will automatically transfer to your completed studies in Sisu. In this case, you do not need to separately apply for credit transfer for the studies you have completed.

Independently completed individual studies within doctoral degree

In addition to the courses taught at Aalto University, doctoral studenst often include independently completed individual studies, e.g. conference presentations, summer schools, publications (not included in the thesis), literature reviews, etc in their degree. Inclusion of such studies in the doctoral degree must always be agreed upon with the supervising professor in advance. The supervising professor evaluates the individual studies and grants the credits for them.

Courses, descriptions and codes have been created for the most typical independently completed individual studies. You will find them in the curriculum of your doctoral programme and in Sisu. The curriculum of your doctoral programme dictates what kind of individual studies can be credited and how many of these credits can be placed in each study module of the degree (General research studies and Research field studies). See below for details. 

Please note that the individual study courses and their rules are valid as of 1 August 2024. If you have started your studies before 1 August 2024, you are not obliged to use the courses, but you can include all your individual studies as other individual study attainments, see the instructions below. However, if you wish to include these courses in your degree, you can agree about it with your supervising professor.
